Set Up Guide for Schedulers

Customization on My Account

Features

Activate/De-activate Features that you will be utilizing in your implementation. You can activate by selecting “My Account”, then update the settings.

SettingsDescription
Is Guest User Creation Allowed?When this feature is active, you can invite others to create an account by sharing the link from + Add New or + Add New Limited User
Default Project Due Period (hrs)You can help guide which date is selected by requesters by enabling the default project date due. If nothing is set, it will be in 5 days (or 120 hours).
Rush Period (hr)This field allows users to define which requests would be considered “Rush”. Rush jobs are marked as red and Rush pricing is utilized if defined.
Project Rush Warning MessageYou can customize the message that pops up when a project is established as “Rush” for any request that is project type (i.e. translation jobs).
Appointment Rush Warning MessageYou can customize the message that pops up when a project is established as “Rush” for any request that is appointment type (i.e. interpretation jobs).
Hide Message EveryoneYou can hide the ability for everyone to post messages on one project (not recommended).
Hide Invoice IssuesThis feature allows contractor to upload invoices to the project.  (there may be additional costs to using this feature).
Show Pay RateThis feature allows schedulers to view supplier pay rates. It also allows suppliers to receive quotes based on the scope of the assignment.
Fuzzy Match EnabledThis is an option if your team utilizes Computer-Aided Translation Tools.
Show AnnouncementActivating this feature will display a custom announcement on the dashboard and service pages.
Account AnnouncementSchedulers can create a custom announcement
 

Fields

You can set up specific custom fields per service as defined below. For updates to custom fields, you will need to contact your LinguistLink Account Manager or support@linguistlink.net.

Set up Portal

You can set up a requester portal to provide users the information needed for all language access. For updates to the portal, you will need to contact your LinguistLink Account Manager or support@linguistlink.net. (Please note, this may be an extra feature that would incur additional costs).

Locations

For the initial set up of locations, please provide your LinguistLink Account Manager or support@linguistlink.net with a list of locations.
You will be able to update and remove locations from your My Account page.

Departments

For the initial set up of Departments, please provide your LinguistLink Account Manager or support@linguistlink.net with a list of departments.
You will be able to update and remove locations from your My Account page.

Types

For the initial set up of Types, please provide your LinguistLink Account Manager or support@linguistlink.net with a list of types, (or types of meetings that might be tracked).

Services

View services here: https://app.linguistlink.net/browse/services
You can set up specific services and descriptions. For updates to services and descriptions, you will need to contact your LinguistLink Account Manager or support@linguistlink.net.
For each service, you will need to identify:
  1. Is it a project type (usually translation projects) or appointment type (usually interpretation projects).
  2. Provide any specific codes
  3. Determine if you want the service to automatically propose to all or not.

Supplier Set-up

In House

Provide your LinguistLink Account Manager or support@linguistlink.net a list of any internal supplier who will be supporting projects. Please provide the following information:
  1. First and Last Name
  2. Email address
  3. Service(s) provided (they should match the services set up for your account)
  4. Rates – hourly or per word
  5. Rush Rates, if applicable
  6. Minimum rates (ie. Per hour and/or per word)

Outsource

Provide your LinguistLink Account Manager or support@linguistlink.net a list of any external supplier who will be supporting projects. Please provide the following information:
  1. Company Name
  2. Email address
  3. Price list for approved services
  4. Rush Rates, if applicable
  5. Minimum rates (ie. Per hour and/or per word)
  6. Other policies that should be factored into the system.

Training

Once the customization is completed, the following training should be scheduled.

Scheduler

The LinguistLink Account Manager should work directly with the scheduler to train on how to propose projects, manage requesters, suppliers, propose jobs, change status and message requesters.

In-House Linguists

The Mindlink Team and Scheduler will provide a 1-hour training for the in-house team to instruct on how to accept projects and use the system to communicate.

External Suppliers

The Mindlink Team and Scheduler will provide a 1-hour training for external suppliers to instruct on how to accept projects and use the system to communicate.

Requesters

The Mindlink team will create a short instructional video to walk through the process of making requests and following the process within the system.
